Can applicants revise their permits?

Yes. Municipalities can grant applicants the ability to amend their applications and/or approved permits but those changes are limited and will need municipal approval.

Oxcart Permit Systems provides an optional revision feature to allow applicants to amend or revise a permit.  This feature is in high demand by the industry and provides a high level of customer service, however applicant initiated revisions are completely at the municipality's discretion.  In most instances, municipal revisions are available even if applicant initiated revisions are not.

  • Applicant initiated revisions (if allowed) can occur at two points in the permitting process, pending approval and post-payment.  Pending approval means after the applicant has submitted their initial application and before municipal review.  Post-payment means after a permit has been approved, assigned a sequential permit number, and paid in full.

  • Applicants may only revise information which does not affect the price. For instance, if your community has a separate price for a single trip and round trip permit, and the applicant originally selected single trip, they will not be able to revise that field. Fields which do not affect the price of the permit such as date, license plate, and routing are open to revision.

  • Each time a revision occurs, either prior to approval or post-payment, a notification email will be generated with a link directly to the approval screen. The revision request will appear in the “Pending Applications” section of your dashboard.

  • As with initial permit review, you have the ability to change any information within the revision application. You also have the ability to deny it.

  • If you approve the revision, a new sequential number is generated. The thread of revisions will follow the root permit number, followed by an “R” and the revision number. For instance, if the original permit is “202600055”, the first revision will be “202600055-R1” then “202600055-R2” and so on.

  • There is no limit to the number of revisions the applicant may submit, but they can only revise the latest revision. If the “-R2” permit has been approved, the applicant cannot submit a revision for the root permit or the “-R1” permit.

  • The price will automatically default to the full price for the permit, however you may change this to any amount you choose. You also have the option to set a Default Revision Fee within your municipal modules.  Oxcart will charge a flat fee (plus credit card costs) to all permits regardless of price, including $0 revisions.

Revisions are a great option for the industry, but can be taken advantage of by the few applicants who may try and use revisions instead of applying and paying for a new, original permit. It is highly suggested you thoroughly review any revision requests, and to set a consistent policy of price and number of revisions allowed.
